Step-by-step instructions

1. 1 When to use Quick Add vs New Inventory Item

   Use Inventory Quick Add for fungible product lines from the Greysheet catalog — U.S. Mint Sets, clad/silver/prestige proof sets, ATB proof singles, ASE, commemoratives, and similar runs where each year or design is a separate SKU but shares the same workflow. Use New Inventory Item for one-offs, slabs with cert numbers, estate pieces, and anything that does not fit a catalog line. If you are coming from eBay, Shopify, or a spreadsheet with no Greysheet titles, no catalog descriptions, and no barcode workflow, expect 15–25+ minutes per listing on those platforms — Quick Add exists so you do not repeat that for every mint-set year.

2. 2 Open Inventory Quick Add

   In the left sidebar, click Point of Sale → Add inventory → Inventory Quick Add. Or from Current Inventory, click the Inventory Quick Add button. Feature Search (Ctrl+K) → type quick add also jumps here.

3. 3 Pick a product line

   Use the Product line dropdown. Groups include Mint & Proof Sets, Modern Dollars & Quarters (proof singles), Eagles, and Commemoratives. Each option explains what catalog rows it pulls.

4. 4 Set the year range

   Adjust Year from and Year to to match the shelf you are stocking — defaults often cover the last 10 years. Narrow the range when you only need recent issues.

5. 5 Load preview

   Click Load preview. SpotPro queries the Greysheet catalog for every matching row in range. The table shows title, suggested sell price, qty, and whether the SKU is already in stock (green rows).

6. 6 Review sell prices

   Edit Sell $ on any row before you commit. Use Greysheet pricing (selected) to fetch live quotes for checked rows (uses your API keys from POS Settings, or SpotPro’s complimentary trial). Sell prices round up to the nearest half-dollar.

7. 7 Set quantity on checked rows

   Check the rows you want. Use the Qty column header (Set / +) to set or add quantity on checked rows only. Green rows already in stock — qty adds to your count without overwriting price unless you change it.

8. 8 Commit to inventory

   Click Add to inventory (or equivalent commit action). Each row becomes a catalog inventory item with a consistent title, SP#### barcode, and curated description. Print labels later from Current Inventory.

   

9. 9 Repeat for the next product line

   Switch product line — mint sets, then clad proofs, then silver proofs, then ASE — and run preview again. Four common lines that used to mean an afternoon of typing often finish in under 20 minutes total.
