Out of the case — grading, memo, or a show

Send coins out of the case for grading, another dealer, or a show. They stay in inventory. Checkout and ExtraCoins will not sell them until they are back. Fees go on each coin’s cost.

Step-by-step instructions

  1. 1 Open Out of the case

    In the left sidebar, click Counter → Out of the case. Or type grading, PCGS, or out of the case in Go to section (Ctrl/Cmd+K). This is one list, not three tools.

  2. 2 Send coins out

    Click Send coins out. Pick where they are going: Grading (PCGS, NGC, CAC…), Another dealer (memo / on the road), or A show. Type the service, dealer name, or show. Scan each tag (or type the name) and click Add, then Send out.

  3. 3 Scan on the phone (Pocket)

    Packing a box at the case: open SpotPro Pocket → Out of the case, or scan the QR on the computer Send form. Start the camera, point at each shop tag, then Send out. Same list as the desk — grading, another dealer, or a show. Bring them back on the phone or at the computer.
  4. 4 Copy sheet for the PCGS / NGC form

    This is not the official PCGS or NGC form — SpotPro does not send the box. Click Copy sheet for the form on a grading list. Numbered lines (date, mint, denomination, shop tag, declared $ = what you paid) copy onto pcgs.com/submit. Write the line number on each 2×2. The last column is a starting PCGS service level from what you paid (Economy for many non-gold coins under about $300; Regular is the usual shop tier; gold cannot use Economy). Their fees change — check pcgs.com/services. One service level per form. Member number, Gold Shield, and shipping stay on their form.
  5. 5 While they are gone

    The coins stay in Current Inventory. Quantity on the card does not change. Checkout and ExtraCoins cannot sell the pieces on this list until they come back. ExtraCoins listings stay up — available quantity drops. Current Inventory shows an Out badge. A filter chip appears when anything is out.
  6. 6 Bring them back

    On the list, click Bring them back. For grading, type grade, service, and cert # if you have them — that saves on the item like other slab tracking. Type a box / shipping fee to split across the coins; that amount is added to each coin’s cost. Then Back in the case.

  7. 7 They never left

    If you scanned the wrong coins, click Never mind. They can sell again. No cost is added.
  8. 8 Dealers pad (memos)

    Open Dealers on Out of the case. Each name shows coins still out and who owes money. On a memo list, They bought these takes the coins out of stock (ExtraCoins and checkout will not have them) and writes what they owe — or check They already paid. Record later payments on the pad. This is not a checkout receipt and does not post to POS Reports.
