Pickup, Zelle & Cash — Staff Fulfillment

One-click actions for local pickup, Zelle confirmation, and cash-at-pickup — from Orders or Sales Checkout at the counter.

Step-by-step instructions

  1. 1 Choose Orders or Sales Checkout

    Use Ecommerce → Orders for shipping labels, batch pack-and-ship, and back-office review. When a customer is at the counter, use Apps → Sales Checkout → Web pickup — look up EC-{order}, confirm Zelle or cash, and mark picked up without leaving the register.

  2. 2 Open Orders each morning

    Click Ecommerce → Orders. The fulfillment queue at the top shows paid orders ready to pack or hand off. Unpaid Zelle, wire, and cash orders appear separately with a red Awaiting payment status — they are excluded from Pack & Ship until confirmed.

  3. 3 Understand inventory holds

    When a customer places a Zelle, wire, or cash order, stock is deducted immediately and held until you confirm payment or the hold timer expires (set in POS Config → Online Store & Orders). Expired orders cancel automatically and inventory restocks — no manual adjustment needed.
  4. 4 Same-day wire — match the reference

    Wire customers receive bank instructions only after checkout (never on your public store). They are told to include EC-{order number} in the wire reference. When your bank shows the transfer, open the order and click Confirm wire received.

    Dealer setup: Only your separate incoming-only deposit account should be in those instructions — never your main business checking. Ask your banker for an account that accepts incoming wires but blocks outgoing checks and debits.
  5. 5 Zelle — match the memo

    The customer is told to send Zelle with memo EC-{order number} — for example EC-12345. When your bank shows the transfer with that memo, open the order and click Confirm Zelle received. Payment status updates and the customer gets a confirmation email.
  6. 6 Zelle + ship orders

    After confirming Zelle on a ship order, fulfill normally — buy a Shippo label, pack, and mark shipped. Pack & Ship stays blocked until payment is confirmed.
  7. 7 Zelle + pickup orders

    After confirming Zelle on a pickup order, SpotPro can mark the order Ready for pickup and email the customer. When they arrive, click Mark picked up to complete the order.
  8. 8 Cash at pickup — one click

    Cash orders show Pay at pickup. When the customer pays at your counter, click Mark picked up — this confirms payment and marks the order fulfilled in one step. No shipping label needed.
  9. 9 Card + pickup

    Card-paid pickup orders skip the payment step. Pull the items, optionally click Ready for pickup to notify the customer, then Mark picked up when they collect.
  10. 10 Review pickup eligibility flags

    Pickup orders store the customer’s declared state and ZIP. If their IP state does not match, the order detail shows a pickup IP state mismatch flag for staff review. Same-state-only rules are configured in POS Config.
  11. 11 No label for pickup

    Pack & Ship, Buy Label, and Mark Shipped are hidden or blocked for pickup orders. You will not accidentally buy postage on a local pickup sale.
