Connect external marketplaces to SpotPro: live API test, Scan catalog (preview) then Import batch (or Link by SKU), qty both ways, price/products/photos out (~5 min for prices), online metal protection, inbound sales into Orders + Ship Desk, cancel restock, and ship tracking write-back.

Step-by-step instructions

  1. 1 How to do it (quick path — exact buttons)

    This is the full how-to for Sell online → Marketplaces. Typical order after you have API keys ready:
    1) eBay: expand the card → Connect eBay → sign in → Agree. Other platforms: paste Admin keys → Save & test.
    2) Catalog: batch 50 / 100 / 250Scan catalog (preview) (nothing written) → fix SKUs if needed → Import this batch into SpotPro (commit). Listings stay live. Repeat for large catalogs.
    3) Or, if both sides already have the same SKUs: Link by SKU only (no creates).
    4) Keep stock honest: Sync qty → (SpotPro → marketplace), or Pull qty ← / Adopt remote qty when you need remote counts first.
    5) Update prices → (or hero Update all prices) for spot-linked metals and sell prices.
    6) Optional: Products + photos → to push title/description/images.
    7) Sales: Orders ↔ (or hero Sync orders now) imports paid orders into Orders + Ship Desk; cancels restock; shipping can write tracking back.
    8) To list a SpotPro coin onto eBay (not import): after Connect eBay, load policies on Sell online → eBay → Settings, then Current Inventory → List on eBay. Full how-to: List coins on eBay.

  2. 2 Open Marketplace Connections

    In the left sidebar: Sell online → Marketplaces (or members search “marketplace” / “import catalog”). You will see eBay, Shopify, Square, WooCommerce, and BigCommerce cards plus how ExtraCoins and CDX Auction fit in. Use this Help Center article as the official how-to while you work on that page.
  3. 3 All five APIs + SpotPro channels = up to 7 places

    SpotPro does not replace eBay or Shopify — those stay your public storefronts. SpotPro is the shop system underneath (counter, inventory, prices, packing). Pure marketplace or cart software is not a coin-shop POS. Yes — you can connect all five external marketplaces at once (eBay, Shopify, Square, WooCommerce, BigCommerce). They are real API integrations, not “pick one maybe.” With the same barcode/SKU linked, one inventory item can be listed on: (1) ExtraCoins, (2) CDX Auction, (3) eBay, (4) Shopify, (5) Square, (6) WooCommerce, (7) BigCommerce — more online exposure, one stock count. After import/link, SpotPro quantity is the hub so a sale in one place updates the others. Coin Dealer X wholesale is an optional additional dealer-to-dealer lane.
  4. 4 Connect eBay (no developer keys)

    Expand the eBay card. Click Connect eBay. Sign in with the eBay account you sell with, then click Agree. You come back here as Connected. SpotPro uses its own eBay app — shops do not create keys or read eBay’s API docs. After connect: create shipping / payment / return policies on eBay (Seller Hub → Business policies), then Sell online → eBay → Settings → Load policies from eBay, save listing defaults, and list from Current Inventory → List on eBay.   5. 5 Save credentials and test live (Shopify, Square, Woo, BigCommerce)

    Expand a platform card. Paste that platform’s Admin / API keys, then click Save & test. SpotPro calls the real API and shows Connected (or the error). Use Test connection anytime after save. Leave blank fields to keep previously saved secrets. Shopify Test connection can auto-fill the first inventory location when blank.
  6. 6 Import catalog — Scan (preview) then Import batch (commit)

    Already have years of marketplace listings? When status is Connected, use a safe two-step import on that platform card.
    1) Scan catalog (preview) — choose batch size 50 / 100 / 250. SpotPro pulls a batch and shows counts only: will link, will create, skip (no SKU), and duplicate SKU warnings, plus sample rows. Nothing is written to SpotPro or the marketplace. Listings stay live.
    2) Fix if needed — unique coins need unique SKUs; empty SKUs will not enter SpotPro; same SKU → one SpotPro line (not two coins). Re-scan after fixes.
    3) Import this batch into SpotPro — commits the scanned plan: match → link; new SKU → create then link. Confirm dialog shows the batch counts. Summary after commit: examined · linked · created · skipped · errors. Preview expires after 1 hour — scan again if it expires.
    Matching: remote SKU → SpotPro barcode / master code / product key. New rows default to type collectible, cost $0 — bullion is not auto spot + premium; set metal math after, then Update prices →. Do not Sync qty / prices until the book looks right.
    Multi-thousand catalogs: repeat scan → import for each batch. eBay API pages are smaller (~100 per request), so 50–100 is a good pilot.
    Not the same as: CSV Import inventory, Link by SKU alone (no create), or Adopt remote qty (qty-only).
  7. 7 Link inventory by SKU (when items already exist in both places)

    When Connected, click Link by SKU if you only want matches — no new SpotPro rows. SpotPro pulls the marketplace catalog and matches SKUs to SpotPro barcodes / master codes / product keys. Matched rows appear under Linked listings (and raise the Linked SKUs counter on the page). Use Import catalog → SpotPro instead when many marketplace SKUs are not in SpotPro yet.
  8. 8 Sync quantity both ways (exact buttons)

    • Sync qty → — writes SpotPro on-hand quantity to all linked listings on that platform so you do not double-sell.
    • Pull qty ← — pulls remote available qty and compares to SpotPro (report only; does not overwrite until you adopt).
    • Adopt remote qty — when remote differs, sets SpotPro on-hand to the marketplace value (confirm dialog), then you can re-push other channels.
    After catalog import, prefer hub-driven stock: sell in any channel, then Sync qty → (scheduled jobs also keep channels current). Think “keep listings current,” not a one-way dump-and-forget.
  9. 9 Update prices → (live spot for bullion)

    On a platform card click Update prices →, or use the hero button Update all prices for every connected platform. SpotPro sell price is used: gold/silver bullion and junk use live metal spot + your premiums; collectibles use fixed / Greysheet sell math. A scheduled job runs about every 5 minutes for connected shops (spot can move a lot in 20 minutes). Metal sell math stays hub-driven (SpotPro does not adopt marketplace sticker prices for bullion). eBay only revises when bid count is 0 — active auctions with bids are skipped. Buy It Now / Good ’Til Cancelled still updates when inventory sell or spot moves. Timed auctions with no bids also keep starting bid and Buy It Now in step with metal (and honor your floor).   10. 10 Products + photos → marketplace

    Click Products + photos → on a connected platform. Where the API supports it, SpotPro pushes title, description, photos, price, and qty to linked listings (and can create a remote product when not yet linked). Use this after import if marketplace copy should match your SpotPro inventory record.
  11. 11 Online metal protection and external listings

    Under Shop setup → Online Pricing → Market hours, when Protect online metal sales is on: ExtraCoins checkout and Auction spot Buy Now follow your policy (sell while tape is live or U.S. session only), and always pause if the spot feed is stale or down. On linked eBay/Shopify/Square/Woo/BigCommerce listings, SpotPro sets available qty to 0 for in-scope items while protection is active, then restores SpotPro qty when it clears. SpotPro cannot turn off checkout on those external sites — qty 0 is the purchase block.
  12. 12 Orders ↔ (sale on marketplace → SpotPro)

    When a paid order lands on eBay, Shopify, Square, WooCommerce, or BigCommerce, SpotPro can import it: create a real SpotPro order (tagged with that marketplace), decrement linked stock, update remaining qty on every other linked channel, and surface it on Sell online → Orders (Marketplaces chip) and Ship Desk for packing/labels.
    Buttons: platform card Orders ↔, or hero Sync orders now (all platforms). A cron job also pulls about every 10 minutes. Optional per-platform Order webhook URL (shown under the card when connected) for near-real-time import — paste into the marketplace for orders create/update/cancel (and Shopify inventory_levels/update if offered). Same external order id is never double-imported. Inbound lines need linked SKUs (or matching barcodes).
  13. 13 Cancels restock + ship tracking out

    If a marketplace order is cancelled or refunded after import, SpotPro can restock linked inventory and refresh qty on other channels (Orders ↔ / webhooks handle this when the platform reports cancel/refund). When you mark an order shipped in SpotPro / Ship Desk with tracking, SpotPro can write tracking back to the marketplace when the platform supports fulfillment APIs.
  14. 14 eBay bid safety

    eBay price updates only run when the listing has no bids. Active auctions with bids are skipped so SpotPro never revises a bidding auction.
  15. 15 How CDX Auction differs

    CDX Auction is not configured on this page. List from Inventory / auction tools as a SpotPro member ($0 list / $0 CDX sell fee). Auction stock holds start on bid or live show queue and reconcile with the storefront. See CDX Auction overview.
  16. 16 CSV import when you have no API

    One-time file migrations without live APIs: Import inventory (CSV how-to: Import Inventory from a Spreadsheet) and Import customers & orders. Prefer Import catalog → SpotPro on Marketplaces when you already have live eBay/Shopify (etc.) API access — listings stay live and link automatically. Live marketplace sales use Orders ↔ / webhooks above, not CSV.
